This Privacy Policy explains how MFRS Gaming (“MFRS,” “we,” “us,” “our”) collects, uses, and shares information when you use our website, register for events, participate in tournaments/leaderboards/promotions, or interact with our community services (collectively, the “Services”).

Quick note (public results)

Event results and leaderboards may be public and typically display gamer tags/usernames, team names, match outcomes, and rankings. If you prefer not to appear publicly, do not participate in public leaderboards or Events where public display is required.

1. Overview

MFRS operates skill-based events (including tournaments, leaderboards, and promotions). This Privacy Policy explains what information we collect, why we collect it, and how we handle it.

This policy is meant to be readable. If something is unclear, contact us and we’ll explain it.

2. Scope + important notes

  • United States: Our Services are intended for users in the United States. Eligibility and prize fulfillment may be limited to U.S. residents.
  • Utah operations: MFRS operates from Utah. Information may be processed and stored in the United States.
  • Third-party platforms: Some parts of the Services rely on third parties (e.g., payment processors, Discord, analytics, video/streaming platforms). Their policies also apply.
  • Official Rules: Events may have Official Rules and disclosures that apply to that Event. Our Terms & Conditions govern use of the Services and participation.

3. Information we collect

We collect information in three main ways: (a) information you provide, (b) information collected automatically, and (c) information from third parties used to operate the Services.

Information you provide

Examples: email address, gamer tag/username, team name, event registration details, platform IDs, communications with us, support requests, and any information you submit through forms or registration flows.

Automatically collected

Examples: device and browser type, IP address, approximate location (derived from IP), pages viewed, referral URLs, timestamps, and interaction data collected through cookies or similar technologies.

Event + leaderboard data

Examples: match outcomes, points, rankings, brackets, timestamps, disqualification notes, integrity flags, and public-facing stats tied to participation (often connected to your gamer tag/username or team name).

Third-party data

We may receive limited information from third parties used to run events (payments, communications, analytics), such as confirmation that a payment succeeded or that an account is verified.

  • Payments: Payments are processed by third-party providers (e.g., Stripe, PayPal, or similar). We do not store full card numbers.
  • Verification: If prizes, fraud concerns, competitive integrity, or legal compliance require it, we may request verification (such as age, identity, residency, or account ownership).
  • Tax forms (W-9) for prizes: If you win prizes or cash and a tax form is required for reporting/fulfillment, we may request an IRS Form W-9 (or other applicable form) and related payout information.
  • Sensitive info: Please do not send sensitive personal information (e.g., SSNs, full financial account details) unless we specifically request it for compliance, reporting, or payout purposes.
Prize documentation note

If a prize winner does not provide required documentation within the timeframe in the Official Rules (or a reasonable time if not stated), the prize may be forfeited or awarded to an alternate winner, to the maximum extent permitted by law.

4. How we use information

We use information to:

  • Operate events, registrations, brackets, leaderboards, and promotions.
  • Confirm eligibility, process payments, award prizes, and communicate with winners.
  • Maintain competitive integrity (including detecting cheating, collusion, fraud, account abuse, and rule violations).
  • Respond to support requests and communicate event announcements, schedule updates, and rule changes.
  • Analyze performance and improve the Services (analytics, debugging, optimization, and security monitoring).
  • Comply with legal obligations (including tax reporting where required) and protect our rights, community safety, and operations.
Marketing

If we send promotional messages, you can opt out at any time using an unsubscribe link (when available) or by contacting us at support@mfrsgaming.net. Transactional/service messages may still be sent.

5. How we share information

We may share information with:

  • Service providers: vendors helping with hosting, analytics, email, registration, brackets, fraud prevention, and payments.
  • Public results: event outcomes and leaderboards may be publicly visible (typically gamer tags/usernames, team names, rankings).
  • Legal & safety: if required by law, legal process, or to protect users, rights, property, or competition integrity.
  • Business transfers: in a merger, acquisition, restructuring, or asset sale, information may transfer as part of the transaction.

We do not sell personal information in the traditional sense.

Sponsor communications: If we run a sponsor campaign, we may display sponsor branding on the Website/leaderboards and may send sponsor offers from MFRS where permitted and consistent with your choices (opt-in/opt-out mechanisms). We do not provide your email address as a standalone mailing list to sponsors without your permission.

6. Cookies & tracking

We may use cookies, pixels, and similar technologies to support core features, secure sessions, remember preferences, and understand site usage.

  • Essential: required for core functionality and security.
  • Analytics: helps measure traffic and performance.
  • Preferences: remembers settings and choices.

You can control cookies via your browser settings. Disabling cookies may affect site features.

7. Data retention

We keep information only as long as reasonably necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements.

  • Competitive integrity: results, brackets, logs, and enforcement records may be retained for recordkeeping, fraud prevention, integrity investigations, and dispute resolution.
  • Payments: certain transaction records may be retained for accounting, audits, and chargeback/dispute handling.
  • Tax reporting: prize-related documentation (including W-9 and prize value records) may be retained as required by law and for reporting/recordkeeping.
  • Deletion requests: we may keep limited records after deletion where needed for compliance, fraud prevention, security, dispute resolution, or legal obligations.
Integrity carve-out

Even if you request deletion, we may retain limited information where necessary to investigate or prevent cheating, fraud, abuse, disputes, or to comply with legal obligations.

8. Minors (ages 13–17)

Our Services are not directed to children under 13. Users who are 13–17 may participate only if their parent or legal guardian registers on their behalf and agrees to our Terms & Conditions and applicable Official Rules.

  • Parent responsibility: the parent/guardian is responsible for the minor’s registration details, required consents, and compliance.
  • Paid events: if a minor is permitted to participate in a paid-entry event, the parent/guardian may be required to complete or authorize payment and provide verification.
  • Parent requests: parents/guardians may request access, correction, or deletion of a minor’s information (subject to verification, legal obligations, and operational limits).

9. Your rights & choices

Depending on where you live, you may have rights to access, correct, delete, or request a copy of your information, and to opt out of certain processing. Rights and response timelines may vary by state. We may need to verify your request before acting on it.

Access / correction / deletion

You can request access to your data, corrections, or deletion (subject to legal and operational limitations, integrity needs, recordkeeping, and security).

Marketing opt-out

Opt out of promotional messages using unsubscribe links (when available) or by contacting support.

State privacy requests

If applicable, you may have additional rights under certain state laws. Send requests with the subject line “Privacy Request.”

Limits

Some requests may be limited where we must retain data for legal compliance, tax reporting, integrity investigations, dispute resolution, or security.

We use reasonable administrative, technical, and physical safeguards designed to protect your information. However, no online service can guarantee absolute security.

We may update this Privacy Policy from time to time. If we make material changes, we’ll update the “Last updated” date above and may provide additional notice.
